Position Responsibilities Summary:
The Scheduling Coordinator is responsible for scheduling of field staff for companion and personal care cases, managing all touch-points (field staff, care recipient and family caregiver), client care standards, and ensuring the branch meets or exceeds inquiry conversion goals.
Other duties include payroll support, shared hiring and termination responsibility with Branch Manager, Director of Nursing and Agency Owner and new hire orientation.
The Scheduling Coordinator will also complete employee reviews with input from the Branch Manager and Director of Nursing with respect to CNAs and non-certified in-home aides.

Day to Day responsibilities:
Position is full time, Monday-Friday 8am-5pm.
Answer incoming calls from potential clients, employees, national accounts and any other BrightStar Care of Tucson/Sierra Vista inquires.
Field calls as needed.
Ensure ABS mobile maintenance is updated as shifts are completed
Complete all staff employee reviews with input from Branch Manager for CNAs, and in-home aide.
First line of defense for all client issues, schedule changes, etc.
If not able to resolve client issue, Scheduling Coordinator will escalate as appropriate
Understands and adheres to established agency policies and procedures.
Creates and maintains staff schedules.
Provides staffing for sick leave, vacation, long term leave.
Schedules client appointments/visits according to care plans and staff availability.
Enters scheduling data, creates schedules.
Contacts care providers and clients regarding day-to-day changes.
Discerns client services required as outlined in agreements, urgent requests and care plans.
Enters client information into database.
Performs general office duties including but not limited to scanning documents, photocopies, files, shreds, provides reception and telephone
On Call rotation approximately every 3 weeks
Will have to work hand in hand with HR to make sure credentials for all staff are updated and to notify of additional caregiver needs.
Skills/Qualifications Requirements:
Minimum of 2 years’ experience as Scheduling Coordinator and/or managing customer service within a customer service- based business/office setting.
Knowledge of HIPAA and healthcare office regulations.
Superior customer service orientation
Must be comfortable handling complex scheduling demands and managing multiple duties and calls
Good computer skills (Internet and Word essential, Excel preferred).
Requires familiarity with standard concepts, practices, and procedures within a particular field.
Excellent phone voice – must be able to hear a smile
Ability to gather data for routine reports and correspondence as required by BrightStar guidelines as well as the ability to respond professionally and appropriately on behalf of BrightStar.
Must be highly motivated, a self-starter and capable of working autonomously with strong organization and problem-solving skills.
Requires the ability to prioritize, complete work on time, be detail-oriented, exhibit a service orientation to clients and be team player with a positive attitude.
Requires solid organizational skills, thoroughness and multi-tasking.
Requires good interpersonal skills and exhibit a service orientation towards others.
Must also demonstrate a sense of understanding and urgency for priorities.
Requires the ability to appropriately troubleshoot and escalate where necessary.
Valid driver’s license; valid state required proof of auto insurance.
